GOLD Overview

GOLD, the “Gung-Ho On-Line Data” system, is a secure Web portal to GENIE that enables Gung-Ho’s clients to use a Web browser to manage their orders on-line and receive real-time information regarding virtually every aspect of Gung-Ho’s manufacturing and distribution operations.

Clients using GOLD can easily check order status, track shipments, enter new orders, change orders, check inventory, manage bills of materials and assembly instructions, run MRP, process returns, and generate reports.

Gung-Ho’s clients, suppliers, and employees can also use GOLD to create, view, modify, and exchange artwork files, media masters, documents, and spreadsheets.
 

Order Status – Real-Time Order Information and Shipment Tracking

Order Status provides clients with real-time information for all types of orders (Web, call center, fax, e-mail, mail, and purchase orders) regardless of the order’s origin (the client, the client’s customer, or a third-party order processing center).

All order details are displayed including the order’s current status (open, partially shipped, on hold, future ship, or backordered).

As orders or portions of orders are fulfilled, Order Status is updated with shipping and tracking information with Track and POD hyperlinks that provide a one-click link to the carriers’ tracking pages for instant on-line shipment tracking and proof of delivery.

Later, as orders are delivered, actual delivery dates and real transit times are also added to the Order Status screen to complete the entire order cycle.
 

New Order – On-Line Instant Order Entry

Gung-Ho’s clients (or their designated order processing centers) usually integrate their systems with GENIE and electronically transfer orders using GET IT and one or more of our standard FTP, CSV, XML, G-EDI, or ExceLink processes.

However, many situations arise – last-minute rush orders, sending free evaluation or demo copies, replacing damaged or lost products – where a need exists to bypass this process. New Order solves this problem by allowing clients to instantly enter orders on-line (referred to as “front-loading” an order) and assign an optional priority status for immediate order processing.

New Order has its own separate password protection with various levels of user permissions allowing order entry to be limited by user, department, product, dollar amount, etc.

E-mail confirmations of Order receipts and shipments are automatically sent by GATE.
 

Change Order – On-Line Order Modification

After an order has been entered, if it needs to modified (e.g., change the quantity, add or delete an item, change the carrier or service type) or cancelled, Change Order provides that ability as well as an option to assign a priority status for immediate order processing.

Change Order has its own separate password protection with various levels of user permissions allowing order changes to be limited by user, department, product, dollar amount, etc.

E-mail confirmations of Change Order receipts are automatically sent by GATE.
 

Inventory – On-Line Window Into the Warehouse

Inventory provides clients (or their designated order processing centers) with on-line inventory information necessary for planning production and checking product availability for fulfillment.

Questions like, How many are in stock?, Will we need more parts for the build?, and Do we have enough to fulfill that order?, can be answered immediately because inventory information is available on-line.

Inventory also displays minimum stocking levels and reorder quantities to ensure the desired amount of inventory is always on-hand. An e-mail warning that the quantity of an item has fallen below the minimum stocking/reorder level is automatically sent by GATE.

Replenishing inventory couldn’t be easier. Clients can choose to fully automate replenishment by authorizing Gung-Ho to make additional product whenever a specified Reorder Level is reached, or they can selectively use Gung-Ho’s simple “Replenish Items” checklist to create a New Production Order with just a few clicks.
 

BOM & MRP – On-Line Bill of Materials and Material Requirements Planning

Clients can manage their current Bill Of Materials (BOM) and run Material Requirements Planning (MRP) on-line so they always know the latest configuration of their products as well as how many they can build – anytime, anywhere.

BOM permits clients to submit BOM change requests on-line. The change request includes the revised BOM, the name of the person requesting the change, and a date/time stamp. An e-mail notification of a BOM change request is automatically sent to the appropriate personnel by GATE.

Gung-Ho’s MRP tool enables clients to instantly determine the Maximum Build Quantity for any single BOM with just one click or to easily run “what if” scenarios with any combination of multiple BOMs.
 

Assembly Instructions – On-Line Assembly Accuracy

Assembly Instructions specifies all of the components as well as their orientation and sequence in the finished good product. These specifications can include text documents, digital photographs, drawings, and/or other graphics to ensure accurate assembly.

Assembly Instructions also permits clients to submit change requests on-line. The change request includes a revised set of instructions, the name of the person requesting the change, and a date/time stamp.

E-mail notifications of Assembly Instructions change requests are automatically sent to the appropriate personnel by GATE.
 

Returns – On-Line Returns Information and Processing

Returns provides clients with real-time information regarding the status of their returns and the ability to process their returns on-line.

Clients can view the items and quantities returned, the dates the returns were received, and the origin of the returns. Clients can then use Returns to disposition those items.

Returns information and processing can also be made available to client-designated order processing centers to assist them with issuing any required refunds or credits.

Returns has its own separate password protection with various levels of user permissions allowing returns processing to be limited by user, department, product, dollar amount, etc.

E-mail notifications that product returns have been received and/or processed are automatically sent by GATE.
 

Reports – On-Line Real-Time Reporting

Real-time Reports regarding virtually every aspect of Gung-Ho’s manufacturing and distribution operations are available on-line and can be downloaded to the user’s computer, tablet, or smartphone for local viewing, configuring, printing, archiving, etc.

Standard reports are available directly from Order Status, New Order, Change Order, Inventory, BOM & MRP, Assembly Instructions, and Returns. EDI Reports are also available individually or as a complete set.

If a required report does not exist, Gung-Ho can create it and save it in the Reports area for future client use.

Aladdin Reporting

With Gung-Ho’s Aladdin Reporting tool, a GOLD user can create their own custom report and save it for their own future use.

Secure And Dynamic Reporting

All Gung-Ho Reports are dynamically generated in real-time and have their own separate password protection.
 

Docs & FTP – Collaborative Information Sharing

Docs & FTP allows clients, suppliers, and Gung-Ho to collaborate and share information on-line using a Web browser.

GOLD Docs users can easily post, view, modify, and exchange artwork files, media masters, documents, and spreadsheets. GET IT automatically searches for new or modified files every 30 seconds and GATE automatically sends members of the collaborative workgroup an e-mail notification regarding any new or modified files.

Additional features include a selective review and approval process as well as automatic and manual historical archiving.

Note: GOLD Docs was originally launched in 2000 as just “Docs.” In 2007, when Google launched its “Docs” seven years after ours, we decided to change our Docs name to GOLD Docs rather than fight the giant or have our more powerful technology be confused with theirs. Now that Google Docs is offered within the Google Drive service, there is less confusion and we use the names Docs and GOLD Docs to refer to the same Gung-Ho technology.
 

GOLD To Go! – Anytime, Anywhere, Real-Time Information

GOLD To Go! is the mobile version of GOLD that allows GOLD users to review order status, check inventory, monitor manufacturing and distribution, and track shipments – anytime, anywhere – using a Web browser on a mobile device.

GOLD To Go! was originally launched in 2001, long before powerful smartphones and tablets existed. Back then, it worked using Internet Explorer on PocketPCs. Today, GOLD To Go! works better than ever taking advantage of the latest mobile device technologies.
